# Will this video be worth the cost?

“How much does an explainer video cost?” is a reasonable first question. A useful business decision needs a second one: What should this video help someone understand or do, and where will that happen? Without that connection, even an affordable proposal is difficult to evaluate.

A polished film may contribute little if it answers the wrong question or rarely reaches the people who need it. A focused explanation, placed at a real point of uncertainty, has a clearer purpose. Defining that purpose helps you decide what to produce and how to assess its contribution.

## What is getting in the way?

“We want to look more modern” leaves plenty of room for interpretation. A more useful starting point is a specific situation: Buyers confuse two services. Sales representatives spend the beginning of every call explaining the same process. New employees can only find an important introduction by asking someone personally.

Describe who is affected, what information is missing, and what the person should understand after watching. That gives the production a task and makes it easier to discuss an appropriate scope.

It may also reveal work that needs to happen first. An unclear service definition or an inconsistent internal process cannot be resolved by animation alone. The business needs to decide what it actually offers before a film can explain that offer convincingly.

## Compare the complete scope

When comparing proposals, look at the work included. Research, scripting, design, animation, voice recording, captions, and agreed revisions all affect the production effort. Required language versions, formats, usage rights, and options for later changes also matter.

For your own budget, account for relevant internal review, website placement, and distribution costs. A production quote and the total project cost may be different numbers. Keep the scope consistent when assessing alternatives.

A narrow, well-defined film can be more useful than a broad company overview. If one recurring question is holding up conversations, the priority is to explain that point clearly. Additional scenes deserve a place when they help accomplish the task.

This approach also makes budget discussions more productive. You can distinguish what is essential for the first use from what might be valuable later, instead of treating every possible version as a requirement from day one.

## Use a simple calculation to expose the assumptions

Consider a deliberately hypothetical example. A project has a total cost of $3,600. Each genuinely additional customer produces $900 in contribution after the relevant variable costs of serving that business. Under those assumptions, four additional customers would cover the project cost: $3,600 divided by $900 equals four.

These numbers are arbitrary. They are not a Capri Video quote, a market price, or a forecast of results. The point is to make the assumptions visible. The customer figure is incremental contribution, not revenue. The project figure should include all costs you intend to evaluate in the decision.

The harder question is which customers would not have arrived without the video. Four new customers in total do not establish that the film generated four additional customers. A campaign, changes in demand, or improvements elsewhere in the sales process could also contribute.

Choose a time frame and decide how you will assess a possible incremental effect. Where feasible, a structured comparison can help. For a smaller project, clearly documented assumptions and consistent feedback may be a more practical starting point than a complicated attribution model.

## Some valuable outcomes are not new sales

For training or onboarding, the intended benefit may be better access to a useful explanation. In sales, it may be that foundational information is already understood, leaving more of the conversation for the buyer's actual requirements.

Look for evidence tied to that task. Which questions recur? How much time is spent on the introduction? Can employees apply the process after watching? Time saved is not automatically a cash saving; its value depends on whether and how the available capacity can be used.

Choose a few relevant measures rather than treating every available number as equally useful. A high view count cannot replace the understanding you wanted to create. At the same time, a modest project does not always need an elaborate measurement system. A clear description of the starting situation makes later observations much easier to interpret.

## Put the idea into a brief

A practical brief identifies the audience, the current point of confusion, the intended takeaway, the placement, and the next step. Add existing materials, required versions, and the available budget range. Those details give a producer a better basis for recommending a scope.
