Show residents how to report a maintenance problem
Explain the reporting channel, the details needed and what a submitted request actually confirms.

Residents and property owners ask different questions. Start with one task for one audience, such as a resident reporting a routine maintenance issue. Show where it goes and what happens after they send it.

Follow a routine repair request
Use a fictional issue and demonstrate the company's actual reporting channel. Show the information needed to identify the property and describe the concern, followed by review and communication of the next step. Do not invent emergency contacts or availability. Any separate urgent-contact information must match the property's approved instructions.
Prepare the example
Use anonymized portal screens, staff roles and approved instructions for reporting problems.
Have the responsible specialist review the words and pictures together. Even a check mark can imply a decision that has not been made.

Check it with someone new to the service
Add it to welcome materials and the reporting page. Ask what happens immediately after submission. If someone expects a repair appointment already to be booked, make the review stage clearer. Check that requests reach the right channel with enough detail, without promising the same response time for every issue.
