How to type on a PDF: add text without changing the original
Add a short line of text to a PDF, choose its page and position, and download a new copy. Fill supported form fields and understand the limits of editing existing text.

To add a date, a reference number or a short note to a PDF, you can place new text over the page. CapriVideo’s Add text to PDF tool does this in your browser and produces a downloadable PDF. Your file stays on your device, and there is no signup step.
Before starting, check what you need to change. Adding a note to an empty corner is a different operation from correcting a sentence already in the document. This editor lets you place and move new text directly on the page. It can also fill supported interactive form fields, but it cannot replace existing wording on the page. Your additions remain editable during the session; the original page content does not.
Add a short line of text
- Open Add text to PDF and choose your document.
- Select the page thumbnail where the note belongs and choose Text in the toolbar.
- Enter your line, choose a color and size between 8 and 72 points, then click on the page to place it. Drag the new text into position.
- Add further notes if needed. Select Export PDF, inspect the preview and download the result.
For example, add “Reference: Q-1042” to the top right of the first page of a project brief. Start with 12 or 14 points and check whether that corner is empty. If the heading already occupies it, move your new label to a clearer spot before exporting. The tool does not automatically detect and avoid existing text.
You can place several text items on a page and use different wording on different pages. Select an addition to edit its wording, color or size, or remove it. Undo and Redo help you correct changes during the session. For a long paragraph that needs text wrapping or a correction to existing wording, return to the source document or use a full text editor.
When the text will not fit
The input accepts up to 200 characters on one line. Text does not wrap or automatically shrink. If a label extends beyond the page, shorten it, reduce its font size or move it farther from the edge before exporting.
The available font supports Latin letters, numbers and common punctuation, including common German characters. Some scripts and symbols are unsupported. If the tool rejects your text, check for an unusual symbol copied from another application. Do not substitute letters in a person’s name just to make it pass; use an editor with the required font support.
Forms, scans and existing text
The tool accepts supported PDFs up to 25 MiB and 200 pages. Open a single fillable PDF to enter Fill form mode, then type into the original text fields or select checkboxes directly on the page. Switch to Text, Signature or Draw for additions outside those fields. Export keeps the original fields interactive; reopen the download and check your entries. Form pages cannot be merged, reordered, deleted, extracted or rotated.
Supported static XFA forms with standard PDF fields, such as the tested W-9, are saved as a standard fillable copy. The editor shows a notice because scripts, automatic calculations, document navigation actions and extended Adobe Reader rights are removed. XFA-only forms, encrypted PDFs and documents with existing digital signatures are unsupported. Other complex PDF features can also cause a file to be rejected. Scanned text is not recognized or made editable.
On a Mac, Preview provides a movable text box through its Markup toolbar. Apple also distinguishes these annotations from editing the PDF’s existing text. Its Preview annotation guide explains that alternative if you prefer working in a desktop application.
Adding a label does not remove information underneath it. Never use overlaid text as a way to hide confidential wording. For a name in a signature position, Sign PDF adds a visible typed signature, without certificate verification. For a light “Draft” label, use Watermark PDF. Place it separately on each page that needs the label; it is not added to every page automatically.
Open the downloaded file and inspect every page you changed. Keep the original so you can start again if the wording or position needs adjusting.
